Role Summary:
Own and manage day-to-day HR administration, facilities, vendor relationships, and asset management across Head Office and branches to ensure a smooth, compliant, and efficient workplace experience.Key Responsibilities:Oversee facilities and office operations across Head Office, branches, and co-working spaces, including housekeeping, security, front office, and utilities management.
Develop, govern, and implement PAN-India administrative SOPs; maintain site trackers, conduct audits, and perform monthly reviews.
Manage domestic travel bookings through Travel Management Companies (TMC), ensuring adherence to policy, turnaround times (TAT), and cost controls.
Plan and supervise admin staff, including rostering, defining KRAs, and on-ground management.
Act as the single-point contact for leadership coordination related to seat moves, projects, and urgent requests.
Manage IT asset lifecycle, including issuance, recovery, ledger maintenance, audits, and PAN-India dispatch.
Plan workplace seating and workstation moves/adds/changes (MAC); track utilization effectively.
Manage contracts and vendors for cafeteria, housekeeping, security, co-working AMC renewals, and SLAs.
Coordinate workspace agreements, parking, vendor onboarding, and payments in collaboration with Legal and Finance teams to ensure compliance.
Process and report employee off-cycle expenses accurately.
Oversee dispatch and courier operations, maintaining governance and records for inbound and outbound shipments.
Prepare and present MIS reports, including weekly/monthly dashboards on costs, SLAs, seating, assets, and vendor performance scorecards.Qualifications:
Proficient in HRMS/admin and ticketing tools such as Darwin/HRMS, SAP/Ariba, ServiceNow, and advanced Excel/Google Sheets skills.
Strong vendor negotiation, stakeholder management, planning, and written communication skills.
