- We are a busy and organized team who ensure the smooth running of the day-to-day operations of the Studio.
- We support the Company's goals and values, demonstrating them in all work activities and interactions.
- We are focused and we anticipate the needs of the Studio, providing positive and efficient support to the Studio and our visitors.
- Provide administrative support to the Studio and Managers, HR, Workplace Services and Senior Management as required.
- Coordinate business travel and hospitality arrangements for the Studio and visitors.
- Coordinate transport arrangements for the studio including airport pick-up and drop-off services for business travelers and those working late-night hours at the studio.
- Serves as the first point of contact for all transportation-related assistance to employees.
- Maintain daily, weekly, and monthly transport tracking records.
- Ensure adherence to company transport policies and government regulations.
- Coordinate and maintain relationships with travel and accommodation service providers.
- Maintain and update the travel calendar, travel spreadsheet, and studio movements.
- Welcome visitors and provide tours when necessary.
- Maintain administration processes and procedures, including visitor, studio access and NDAs.
- Maintain and organize files and records using effective filing systems.
- Provide accounts payable support, including preparing expense reports via Concur, reviewing invoices, and processing purchase orders.
- Assist with projects and activities as needed.
- Support internal events and employee-related activities.
- Provide coverage for essential responsibilities within the Admin Team as required.
- Handle incoming calls and visitors.
- Track, order, and oversee meal planning for the development team.
- Organize and handle the office library.
- 5+ years' experience in an Admin Coordinator role
- High proficiency on MS Office 360 Applications, Outlook, Excel, Word, PowerPoint.
- Competent in responding to urgent requests, demonstrating flexibility, and adhering to deadlines.
- Willingness to work overtime as needed.
- Proximity to the office is required.
- Highly self-motivated and proactive with ability to work both with minimal supervision and as part of a team environment.
- Proficient in working quickly and effectively in a dynamic environment while remaining composed and graceful.
- Excellent organizational skills and attention to detail.
- Experience in booking corporate travel.
- Strong emphasis on customer service with the ability to handle expectations appropriately.
- Experience in the Creative Industries including video games, film, television and music.
- Experience working as a Personal/Executive Assistant, liaising with all levels of a business.
- Proficient in utilizing JDE systems, office management systems and procedures.
