Req ID: 28853Job ResponsibilitiesTo support the Managing Director’s effectiveness and ensure smooth corporate operations through proactive, confidential executive support and ownership of travel governance, corporate visitors, sales support administration, agreements, events, and compliance, contributing to operational excellence and a professional corporate image.
- Provide end-to-end secretariat and executive office support to the Managing Director, including calendar, meetings, communications, and confidential administration.
- Act as the single point of coordination between the MD and leadership stakeholders, ensuring timely communication cascading and follow-ups.
- Manage MD travel arrangements (air tickets, hotels, visas, itineraries) and oversee leased property administration and vehicle management (official and family).
- Oversee corporate travel operations (domestic & international) for Leadership, SSC, and R&D teams, including vendor coordination and policy compliance.
- Ensure travel policy deployment, invoice verification, approval, and reconciliation in OT.
- Handle corporate visitor management, including invitation letters, agendas, logistics, and hospitality arrangements.
- Provide sales and business operations support, including compliance approvals agreement renewals, distributor blocking/unblocking coordination, price lists, target letters, and customer surveys etc
- Manage, bill approvals, and reconciliations for travel partners, hotels, transport vendors, and facility-related vendors.
- Administer HSBC corporate credit cards, including issuance, limit changes, overseas notifications, and cancellations.
- Plan and coordinate corporate events, such as Sales Conferences, Distributor Meets, Townhalls, Essen Shows, and Corporate visitor dinners etc.
- Corporate administration and executive secretariat processes
- Travel management, vendor contracts, and billing procedures
- Corporate governance, compliance, and confidentiality standards
- Event management and hospitality protocols
- Strong planning, organization, and multitasking capabilities
- Executive-level communication and stakeholder coordination
- Vendor management and negotiation skills
- Financial acumen for invoice validation and reconciliation
- Proficiency in MS Office / ERP / travel booking platforms
- 8–12 years of experience in secretariat, corporate administration, or executive support roles
- Proven experience supporting senior leadership / MD / CXO level
- Exposure to sales support operations, travel management, and events
- Prior experience in head office / corporate environment preferred
