Job Role :Assist in all project coordination activities to ensure project timelines are met and bottlenecks, if any, are resolved.Project Tracking and assistance during execution -- Prepare project status report for review meetings- Schedule meetings with stakeholders as necessary.- Attend project meetings with contractors, subcontractors, consultants, and project heads to ensure project goals are achieved on the scheduled timeline.- Compile meeting minutes for every attended meeting.Vendor Support -- Assist in queries/clarifications needed to help vendors with the responses.- Reply to any technical queries received from vendors in coordination with the Project Manager.- Coordinate with vendors to obtain various project documents and material tracker, schedule, etc.- Share relevant technical information with consultants/clients for approval, and subsequently relay approved information to vendors.Vendor Billing -- Vendor invoices & abstracts - check the quantities mentioned in abstracts and submit acknowledged vendor invoices to the accounts department for processing.- Keep track of invoice nos received from vendorsMaterial Deliveries tracking -- Track material delivery timelines and coordinate with vendors in case of any delays.- Highlight persistent vendor delays to the Projects Manager & seek his involvement.Client Billing -- Maintain project abstract sheets (Client billing) throughout the project lifecycle and reconcile with the Accounts team on a regular basis.Project documentation management -- Manage various trackers and project documents, including TDS, shop drawings, and project directories.- Organize and store all project documents securely on the Server.Requirements :- Science Graduate/Dipl/Degree Engineer with experience of 2-3 years as a project coordinator working in a similar industry or any MEP contractor.- Familiarity with MS Office / ERP systems / Project Management systems- Excellent verbal and written communication skills & convincing abilities.
