The Workplace Coordinator ensures an exceptional workplace experience by managing all soft services, events, and concierge offerings for Stripe’s offices in Bengaluru. This role oversees day-to-day service delivery—covering cleaning, pest control, pantry operations, and reception—while fostering user engagement, supporting events, and ensuring vendor excellence. The Workplace Coordinator acts as a frontline ambassador, providing a welcoming environment and ensuring operational efficiency across all workplace touchpoints.
Key Responsibilities
Soft Services & Facilities
- Manage all soft services including cleaning, pest control, waste management, pantry and breakroom upkeep, and general office presentation.
- Conduct regular inspections to ensure service quality and adherence to health, safety, and cleanliness standards.
- Oversee vendor management end-to-end: sourcing, contract preparation, invoicing, budgeting, performance reviews, and onboarding.
- Coordinate minor maintenance and liaise with relevant teams for repairs and upgrades.
- Manage reception services when the receptionist is on break or leave
- Deliver high-quality reception services, including visitor greeting, registration, and escort coordination.
- Manage incoming calls, deliveries, and inquiries in a professional and efficient manner.
- Provide concierge services such as local area information, transport bookings, and special assistance for employees and visitors.
- Maintain a clean, organized, and welcoming front-of-house area.
- Plan, coordinate, and execute workplace events such as town halls, team activities, wellness programs, and social gatherings.
- Manage event logistics: space booking, room setup, catering, audiovisual requirements, and supplier coordination.
- Promote events and workplace activities through internal communications.
- Gather feedback post-event to improve future initiatives.
- Partner with internal teams to foster employee engagement and enhance workplace culture.
- Serve as the primary point of contact for workplace-related inquiries.
- Manage office supplies, furniture, and pantry inventory.
- Support onboarding of new employees by introducing workplace services and protocols.
- Assist with space planning, moves, and workstation changes.
- Monitor and report workplace performance metrics and identify areas for improvement.
- Support sustainability and wellness initiatives.
