- Act as the first point of contact for all employee queries related to health insurance and other benefits.
- Support employees through insurance claim processing, coordinating closely with TPAs and insurance providers.
- Manage, track, and close employee cases through AskHR (or equivalent case management system) within agreed SLAs.
- Ensure accurate benefits onboarding and offboarding, including:
- Timely enrolment of new hires into benefits programs.
- Deactivation of benefits for exiting employees.
- Maintain and regularly update benefits databases and trackers to ensure data accuracy.
- Download and maintain new hire reports; send welcome emails related to benefits.
- Manage monthly meal card administration, including enrolment changes, reconciliation, and issue resolution.
- Send timely, clear, and accurate benefits-related communications to employees, including policy updates and changes.
- Conduct benefits induction sessions for new joiners.
- Organise and coordinate insurance refresher sessions post policy renewals.
- Support employee engagement initiatives by coordinating wellness sessions with external vendors.
- Plan and coordinate employee wellness sessions in collaboration with external vendors.
- Act as the operational interface with TPAs, insurance companies, brokers, and other benefits vendors.
- Coordinate with vendors to resolve day-to-day operational issues, escalations, and service delays.
- Participate in negotiations with insurance providers/broker to optimize cost and coverage.
- Engage with Finance, Payroll, HR Operations, and other internal teams to ensure smooth benefits processing.
- Track invoices, validate billing, and ensure timely submission for payments in line with internal processes.
- Escalate critical issues promptly with clear context and data.
- Support execution of insurance policy renewals across India, APAC, and UAE by:
- Compiling claims data and utilisation reports.
- Coordinating required information with brokers and insurers.
- Supporting renewal timelines and administrative requirements.
- Participate in renewal discussions primarily from an operational and data-preparation perspective, rather than ownership of strategy or design.
- Recommend improvements to benefits programs based on market trends and internal insights.
- Pull and consolidate operational reports (new hires, claims, vendor SLAs, query volumes).
- Maintain standard operating documentation related to benefits processes and vendor contacts
- Ensure benefits processes are executed accurately, on time, and in accordance with policy.
- Identify recurring issues or risks and flag them proactively with supporting data.
- Review employee feedback and benchmarking reports to enhance benefits design.
- Strong hands-on experience in benefits operations and administration.
- Excellent coordination and follow-through skills.
- Comfortable working in a matrix reporting environment with multiple stakeholders.
- Clear, empathetic, and effective employee communication skills.
- Strong vendor coordination and escalation management ability.
- Detail-oriented, structured, and process-driven.
- Ability to pull together data, spot trends, and support operational decision-making.
- Self-starter with a proactive, ownership-driven mindset.
- 2–4 years of experience in Benefits Administration, HR Operations, or Total Rewards Operations.
- Prior experience working with insurance providers, brokers, and TPAs is desirable.
- Exposure to benefits operations is strongly preferred.
- Experience using HR systems, case management tools, and Excel-based trackers.
- Bachelor’s degree required; HR or operations-related certifications are a plus.
- Seamless, issue-free benefits operations throughout the maternity cover period.
- Employee queries resolved efficiently with high satisfaction.
- Renewals and vendor processes executed on time with minimal escalations.
- Strong operational grip with proactive flagging of issues and dependencies.
