- To provide administrative support to FM for site teams
- To provide comprehensive management of services covering all facility services to the client with the focus of continuous improvement
- To achieve financial and other targets given by Facility Manger.

- Front Office Management
- Handling and upkeep of entire reception area
- Managing all incoming calls and distribution
- Greet Customers on arrival, receive, inform and guide visitors including the coordination with employees
- Upkeep of the front office, including newspapers and Magazines
- Booking of customer rooms / meeting rooms as per the client requirement
- Daily check and upkeep of customer rooms as well as meeting rooms. All the assets, stationary and other amenities should be in place
- Allocation of customer rooms with tagging / name board of customer
- Booking of spot rental cabs as per the requirement from Business as well as project management
- Handling of fixed rental cab stationed in office to manage the requirement from production team
- MIS to be maintained for both spot rental cabs as well as monthly fixed cabs for invoice validation
- MIS to be maintained for daily sales of cafeteria as per the matrix count as well as manual entries and forward to central team
- MIS / DSR to be maintained for employee transport and forward to central team
- Daily tracking and monitoring of stationary consumption & monthly physical stock verification to prepare the indent for next month
- Daily tracking and monitoring of pantry item consumption with distribution to make the indent for next month
- Daily Support staff deployment sheet to be updated and to be shared
- Inward and Outward courier management
- Ordering of printing materials including stamp and stationaries like envelope, visiting cards, letterheads
- Support IFM team in administrative work like data collection
- Contribute in client events or employee experience activities
- Soft Service Management
- Support for FM and report daily updates/issues with site
- Understand the Facilities Management scope for the client assigned and develop client specific processes and procedures in consultation with FM and ensure implementation and compliance of the processes.
- Support in the implementation of short and long-term projects for the client project.
- Ensure compliance with Jones Lang LaSalle minimum audit standards.
- Statutory compliance 100 %
- Coordinate with vendor staff and staff on site to ensure smooth operations on site
- Work order / Job cards - Generate job cards / work orders for all service requests with specific tasks by assigning unique reference numbers
- Ensure compliance of agreed SOP & procedures as per guidelines
- Follow Critical Environment processes & EHS policies laid down by the team
- Achieve excellence in maintenance programs with highest standards
- Know the entire cafeteria management with industrial kitchen management
- Ensure smooth operations pertaining to the facility.
- –Periodically inspect the logbooks, checklists, and PPM schedules for a better management of engineering systems and soft service .
- –Work towards the ‘ZERO’ down time and set up the practices to ensure the delivery of seamless soft service to Clientss
- Vendor Management
- Vendor grooming and real time monitoring of services and periodic reviews and ensure adherence to SLA
- Carrying out Vendor Background Checks.

- Participate in emergency evacuation procedures including crisis management and business continuity
- Daily weekly & monthly reports on Soft service related (ETS, cabs).
