Key Responsibilities- Ensure smooth daily functioning of the office.- Maintain office premises, cleanliness, housekeeping, and hygiene standards.- Oversee office equipment including printers, laptops, projectors, air-conditioning, Wi-Fi, and CCTV.- Manage seating arrangements and workspace allocation.- Coordinate with facility management teams and building authorities.- Act as the primary point of contact between management, employees, vendors, and visitors.- Schedule internal meetings and manage conference room bookings.- Assist in planning and executing company events, training sessions, and conferences.- Manage calendars, travel itineraries, and logistics for employees and management.- Obtain quotations, compare costs, and negotiate pricing with vendors.- Process purchase orders for stationery, pantry items, office supplies, and IT accessories.- Maintain inventory records and ensure timely replenishment of supplies.- Manage Annual Maintenance Contracts (AMC) for office equipment.- Evaluate vendor performance and maintain an updated vendor database.- Maintain accurate physical and digital records and documentation.- Ensure timely renewal of licenses, insurance policies, and compliance certificates.- Manage agreements including vendor and maintenance contracts, and track expiry dates.- Prepare administrative reports such as expense statements, asset reports, and maintenance logs.- Handle travel bookings including flights, hotels, and cabs for employees and guests.- Coordinate transportation for executives, visitors, and office events.- Manage courier services including receiving, dispatching, and tracking important documents.
