- Prepare, verify, and maintain all commercial documents including purchase orders, invoices, delivery notes, and payment records.
- Ensure accuracy and completeness of import documentation such as bills of lading, packing lists, certificates of origin, and insurance papers.
- Maintain systematic filing of contracts, agreements, and correspondence with suppliers, logistics partners, and government authorities.
- Track and update records of equipment imports, ensuring timely submission of documents to customs and regulatory bodies.
- Liaise with overseas suppliers, freight forwarders, and customs agents to facilitate the import of construction equipment.
- Monitor shipment schedules, track consignments, and resolve logistical issues to ensure timely delivery.
- Coordinate with internal departments such as procurement, finance, and operations to align import activities with project timelines.
- Ensure compliance with Indian import laws, customs regulations, and applicable duties/taxes.
- Assist in obtaining necessary licenses, permits, and clearances for importing heavy machinery.
- Support the sales and procurement teams by preparing cost sheets, quotations, and commercial proposals.
- Handle vendor registration, supplier onboarding, and contract negotiations from a documentation perspective.
- Monitor payment schedules, follow up with clients and suppliers, and ensure timely processing of transactions.
- Assist in preparing financial reports, commercial statements, and MIS (Management Information System) reports for management review.
- Conduct market research on equipment pricing, import duties, and competitor activities to support commercial decision?making.
- Ensure adherence to statutory requirements including GST, customs duty, and other applicable taxes.
- Maintain updated knowledge of government policies, import/export regulations, and industry standards.
- Coordinate with auditors and consultants during statutory audits, providing necessary commercial records and clarifications.
- Implement internal controls to safeguard company interests and minimize risks in commercial transactions.
- Work closely with project teams to understand equipment requirements and align import schedules accordingly.
- Provide administrative and commercial support to senior management for strategic decision?making.
- Assist in drafting and reviewing contracts, agreements, and MoUs with suppliers and partners.
- Act as a point of contact for resolving queries related to commercial documentation and import procedures
- Strong knowledge of import/export documentation, customs clearance processes, and commercial practices.
- Proficiency in MS Office, ERP systems, and documentation management tools.
- Excellent organizational and time?management skills with the ability to handle multiple tasks simultaneously.
- Strong communication and coordination abilities to interact with suppliers, logistics partners, and internal teams.
- Analytical mindset with attention to detail in reviewing contracts, invoices, and financial records.
- Ability to work under pressure and meet strict deadlines in a dynamic industry environment.
