Role: EA to CFO Band: 5B Department: Business Strategy Reporting: CFO As the Executive Assistant (EA) to the Chief Financial Officer (CFO), you will play a pivotal role in supporting the CFO in their daily activities and ensuring the smooth functioning of the CFO Functions. You will be providing high-level administrative support and assisting in various tasks to enhance the efficiency and effectiveness of the CFO's workflow. Your responsibilities will include, but are not limited to, the following: Calendar Management: Manage the CFO's calendar, scheduling meetings, appointments, and conference calls. Prioritize and coordinate appointments, ensuring the CFO's time is optimized and commitments are met. Anticipate scheduling conflicts and proactively resolve them to ensure seamless operations. Communication Liaison: Serve as the primary point of contact for internal and external communications on behalf of the CFO. Handle incoming calls, emails, and correspondence, responding or redirecting as appropriate. Draft, proofread, and edit documents, presentations, and reports for the CFO. Travel Arrangements: Coordinate all travel arrangements for the CFO, including flights, accommodations, ground transportation, and itinerary planning. Prepare travel expense reports and ensure adherence to the company's travel policies and procedures. Meeting Support: Facilitate communication and coordination among team members and stakeholders. Project Management: Assist in various finance-related projects and Track project timelines, milestones, and deliverables, ensuring timely completion and reporting to the CFO. Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism. Maintain confidentiality regarding financial matters, strategic plans, and organizational decisions. Relationship Building: Build and maintain positive working relationships with internal teams, executives, external partners, and stakeholders. Collaborate with other administrative staff and executive assistants to ensure cross-functional support and alignment. Qualifications: Bachelor's degree in Business Administration, Finance, or related field preferred. Proven experience 5+ years as an executive assistant or administrative assistant, preferably supporting C-level executives. Strong organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment. Excellent communication skills, both verbal and written, with a keen attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Ability to work independently with minimal supervision and as part of a collaborative team. Professionalism, poise, and a proactive approach to problem-solving.
