- Gatekeeping and Prioritization: Autonomously manage and prioritize the executive's calendar and inbox, filter noise, draft routine responses where appropriate, and create space for deep work, decision-making, and critical leadership engagement.
- Global Travel Architecture: Coordinate end-to-end domestic and international travel, including flights, visas, accommodations, ground transportation, and detailed itineraries, while anticipating bottlenecks and adjusting dynamically across time zones.
- Meeting Planning and Briefing: Plan and coordinate leadership meetings, shape agendas with stakeholders, prepare briefing materials, consolidate pre-reads, and ensure leaders enter each discussion fully prepared and well contextualized.
- Meeting Follow-Through: Attend meetings as needed, capture clear notes, decisions, and actions, and drive disciplined follow-up to ensure momentum and timely completion of agreed next steps.
- Cross-Functional Coordination: Work seamlessly across teams, geographies, and seniority levels to align schedules, unblock issues, and maintain effective communication on behalf of the leadership team.
- Workflow and Technology Optimization: Leverage digital tools, automation, and AI to reduce manual work, improve planning, streamline administrative workflows, and save executive time through smarter operating routines.
- Confidentiality and Judgment: Handle sensitive business information with the highest level of professionalism, discretion, and trust at all times.
- Onsite Leadership Support: Provide practical support for onsite leadership meetings and events in the location where you are based, ensuring a smooth and professional experience.
- 7+ years of relevant experience, including at least 2+ years supporting senior leadership in an Executive Assistant, Senior Assistant, or comparable role.
- Proven experience managing complex calendars, high-volume scheduling, and frequent changes, while maintaining strong prioritization and attention to detail.
- Demonstrated experience coordinating complex travel arrangements, including international itineraries, visas, accommodations, and real-time changes.
- Strong experience planning leadership meetings, preparing agendas and materials, capturing actions, and driving follow-through.
- Excellent written and verbal communication skills, with the confidence to engage professionally across levels, functions, and cultures.
- High level of discretion, sound judgment, and ability to manage confidential information appropriately.
- Comfort working in a fast-paced, matrixed, global environment with shifting priorities and incomplete information.
- Strong technical fluency and openness to using productivity tools, automation, and AI to improve workflow efficiency and executive support.
