- Meeting Administration: Schedule and maintain board meeting schedules, prepare and circulate notices, agendas, and supporting documents for Board, Committee, and General Meetings.
- Minute Drafting: Accurately record discussions, decisions, and resolutions in minutes, ensuring neutrality and compliance with statutory norms.
- Statutory Compliance: Maintain statutory registers and entity management systems, monitor filing deadlines, and ensure timely annual and event-based filings.
- Governance Advisory: Advise management on the provisions of the relevant Acts and other regulatory requirements.
- Record Management: Securely maintain minute books and statutory records electronically.
- Collaborator Coordination: Liaise with auditors if required and internal teams for compliance and governance matters.
- General: Assist with KYC requests and perform other job-related duties or projects as required by assigned departments.
- ACS/FCS qualification from ICSI.
- 6+ years of experience in corporate secretarial functions.
- Validated expertise in minute drafting and governance practices.
- Excellent written communication skills, attention to detail, discretion, and confidentiality.
- Strong knowledge of MS Office tools.
- Preference for candidates with experience in EU secretarial laws and hands-on exposure to corporate registry requirements in Luxembourg and the United Kingdom.
