We are seeking a candidate with 4 to 6 years of relevant experience. The role involves assisting in the organization's day-to-day tasks with precision, using shorthand writing skills, and managing various communication and organizational tasks effectively.Qualifications and Skills
  • Expertise in shorthand writing to accurately transcribe spoken words during meetings and conferences.
  • Excellent typing speed of 80+ words per minute to ensure rapid turnaround of documents and correspondences.
  • Proven experience in scheduling meetings and organizing the calendar of executive management.
  • Ability to record the minutes of meetings accurately, capturing essential discussions and decisions.
  • Proactive approach and strong organizational skills to manage multiple priorities efficiently.
  • Ability to manage phone calls, emails, and client interactions, ensuring effective communication flow.
  • Experience in reminding managers of strategic tasks and deadlines to ensure timely completion.
  • Must be detail-oriented with excellent verbal and written communication skills for effective reporting.
Roles and Responsibilities
  • Transcribe and type information from meetings using shorthand and ensure accuracy in documentation.
  • Schedule and coordinate meetings, ensuring optimal time management for executive officers.
  • Maintain minute books while accurately recording the proceedings of various meetings.
  • Assist in managing communication, including phone calls and emails, for efficient workflow.
  • Play a proactive role by reminding the manager of upcoming strategic tasks and deadlines.
  • Organize and maintain files and records, ensuring easy retrieval of information when needed.
  • Assist in drafting, proofreading, and formatting documents for the executive team.
  • Handle additional administrative responsibilities to support executive officers as needed.
