Opportunity to work with a global MNC which is a market leader Fantastic prospects to take on bigger sales responsibility over time Job Description Receive the orders through POs and emails, and processes the Proforma Invoice in priority basis Follow up on customer's approval and monitors the stages of validation (sales, logistic and production) Communicate order confirmation with planned shipping date once the order is fully validated Monitor the production and payment status of the customer Gather and communicate the shipping documents for delivery and custom clearances without delay Resolving customer complaints like logistic, legislation, QC and production issues To arrange sample submission from completed projects in an expected responsiveness manner Proactive sampling - To arrange sample based on selections, or instructions of sales manager Generates, completes and forwards sample documents including marketing, regulatory and quotations Works in collaboration with production team to properly schedule the sample production and shipment procedure. Tracks the shipment and resolve if issue arises Ensuring the quotations is made immediately after the sample offer has been created Creates quotation based on the standard margin fixed on the account, or as per the instruction of sales manager Helps in entering studies based on customers' projects and specific requests with complete details like prices, applications, dosages, potential, evaluation protocol and sample requirement, and monitors it to ensure communication of the submissions Creates and updates the customer accounts with complete details (address, contacts, payment terms), potentials and categories (A to D, where A is the most important), and remarks on essential points on commercial strategies Communicates regulatory documents requests Supports, reports, and provides information necessary in decision-making of Sales Manager Welcomes the guests by greeting and directing them to appropriate person, logbook details, and provide necessary information and assistance (like offering coffee, etc.) as needed Ensure that reception area is tidy, organised and presentable Answer, screen, and forward incoming calls Tracks the outgoing and incoming shipments of general goods and documents Supports the Office Manager in maintenance service of the facility, and resolving issues that needs immediate attention (examples: air conditioning problems, water leakage, clogged drainage) Ensures the sustainability of all office and laboratory supplies, and restock once necessary Handles the general invoices, purchase orders and payments with validation from Office Manager and Managing Director (for goods and for services) Perform other administrative duties such as filling and transcribing Backup of other Assistants as needed / in cases of absence Strictly respect the process and production method from the quality insurance department (HAS 23000, ISO 9001, ) The Successful Applicant The person should come with good written and oral English skills besides fluent Hindi. Telephone and supply management skills are crucial. The person must be attentive to details, proactive, highly organised with multitasking and time management skills. Calculation and computer skills, and adaptability in learning various softwares is important. Ability to work as a team and as an individual is desired.
