- Front Desk Management: Greet residents, parents, and visitors with a professional and friendly demeanor; manage the main reception area, ensuring it is tidy and welcoming.
- Safety & Security: Monitor and control access to the hostel premises, issue visitor badges/access cards, maintain an accurate visitor logbook, and ensure all safety and security procedures are followed.
- Resident Support: Be a primary point of contact for residents' inquiries, requests, and concerns. Provide information about hostel policies and local amenities, and help address issues promptly and with empathy.
- Communication Handling: Answer, screen, and forward incoming phone calls and emails professionally. Ensure messages are accurately recorded and delivered to the appropriate person or department.
- Administrative Tasks: Manage administrative and clerical duties such as filing, photocopying, data entry, and sorting/distributing mail and deliveries.
- Records Management: Maintain accurate and up-to-date records of resident information, room assignments, and potential incident reports.
- Coordination: Coordinate with maintenance, cleaning staff, and other hostel management (e.g., wardens) to ensure facilities are well-maintained and resident needs are met.
- Emergency Response: Be familiar with emergency protocols and guide residents and staff during crises such as medical situations or fire drills.
- Education: A high school diploma or equivalent is generally required; additional certification in office management or a related field is a plus.
- Communication: Excellent verbal and written communication skills are essential for interacting clearly with a diverse group of people (residents, parents, staff).
- Interpersonal Skills: A professional appearance, positive attitude, and the ability to be approachable and empathetic, especially when handling resident concerns.
- Organizational Abilities: Strong time-management and multitasking skills to handle various duties simultaneously without losing focus.
- Technical Proficiency: Competency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn and use specific hostel management software/systems.
- Problem-Solving: The ability to be resourceful, proactive, and resolve conflicts or issues that arise efficiently.
- Confidentiality: The capacity to handle sensitive resident information with discretion and maintain confidentiality.
