As Human Resources Officer, you will be responsible part of 'Human Resource - Shared Services' that support for entire Hire to Retire support activities. You will be responsible in improving the overall delivery efficiency of HR Shared Services team by following people management guidelines. You are expected to develop digital HR processes in line with group standards described in 'The Way We Do Things', while safeguarding the group core values, principles and ethics. Roles and responsibilities of the position are as mentioned below: - Digitalisation of Hire to Retire Process Coordinate with respective business HR teams to understand the HR processes and streamline the same wherever digitally possible. Coordinate with external vendors and providers to enhance system functionality and implementation in line with product upgrades time to time. Work to enhance system knowledge amongst different internal stakeholders. Onboarding Coordinate and engage with external HRMS provider. Maintaining the local HRMS platform for employee details. Accurate preparation of onboarding/ new-joiner salary input and sharing with the payroll team as per required format and procedures. Initiating employee digital onboarding and following up with candidates and respective SPOC's for onboarding completion. Verification of Documents and Joining Forms uploaded on candidate portal. Verifying approvals, salary offers uploaded in the portal. Issuance of Appointment letter and generating employee ID card. Verification of form 11 and form 2 and sharing with respective SPOC for PF processes. Explain company personnel policies, benefits, and procedures to new employees. Maintain and update all HR records and employee files to ensure accurate records are kept at all times and filing in order. To facilitate the invoicing pertaining to vendors. Background Verification To collaborate with background verification vendor and ensure service deliverables with turn-around time. Connect with candidates for necessary documentation pertaining to background verification. Ensure that the cases are initiated and closed as per agreed TAT. Maintain trackers on the background verification cases and subsequent reports. Highlight any disputed record/case to the management. Background verification invoicing. Employee Exit Management Tracking the employee exit database and preparation on exit/separation input for payroll purposes and sharing with the payroll team. Checking necessary approvals and generation of Relieving and Experience letter through the system. Tracking 'No Dues Clearance' checklist and ensure timely completion of the same. Confirming no dues with finance for separation cases and ensuring closure in the system by due coordination and diligence. Other Activities Generating various company certified letters like bonafide letters, visa and covering letters, employment proof letters, etc. Supporting Business HRs with set policies and procedures. Act as a central HR support contact, for queries related to Hire to Retire activities. Vendor Coordination. Invoice processing and raising Purchase request when required. Participate in internal and external audits of the HR function as required. Conduct employee engagement calls/webinars to enhance policy and system knowledge for employees. Visit different business unit sites and collaborate for effective execution regularly. To succeed in this role, you will need - Strong experience (1 to 4 years) in administrative environment. Previous experience in Shared services, Customer Support and Admin is preferable. Minimum Education - Graduate in Commerce and Management. MBA in HR will be an added advantage.
