HR Admin & Operations AssociateDepartment: Human Resources, IT and AdministrationEmployment Type: Permanent - Full TimeLocation: IndiaDescriptionCity: Mumbai, IndiaThe team you would join:Sun King's Human Resources team supports the people operations and productivity of more than 2,800 employees and 25,000 commission sales agents, globally. Given the growth orientation, the company's HR team is dynamic, people-centric, and united by the passion to serve off-grid consumers.​​About the role :We're looking for a self-motivated person with a learning mindset, who can perform a variety of administrative and payroll tasks, including helping our managers and employees, assisting in daily office needs, and managing general administrative activities.What you will be expected to do:Vendor Management:
  • Liaising with vendors for various activities related to event management and other tasks.
  • Sourcing, overseeing contracts and on-boarding vendors for functions such as food catering, housekeeping, hotels, transportation, etc.
  • Resolving vendor grievances.
Invoice Processing:
  • HR and Admin invoice maintenance and tracking.
  • Invoice processing and follow ups with accounts team for vendor payment before due date.
Travel and Visa Assistance:
  • Handling travel desk operations and supervising official travel bookings.
  • Liaising with the travel vendor on travel and stay bookings.
  • Booking transport (national/international) and accommodation (national/international) for employees traveling from overseas as well as company guests.
  • Generation of visa letters for different countries and assistance with the visa process.
Office Maintenance:
  • Ensuring that office facilities are well-maintained and proactive checks/audits are conducted.
  • Managing and assisting the housekeeping team in routine administrative tasks and resolving conflicts.
  • Overseeing any renovations, refurbishments and building projects, helping with office relocations.
  • Ordering office materials and supplies as well as maintaining inventory.
Compliance and Insurance Assistance:
  • Coordination with compliance vendors for compliances, like renewals, monthly/quarterly returns, PF queries/form submissions, etc.
  • Work with the medical insurance vendor and be the single point of contact for all medical related queries.
Letters and Contracts Maintenance:
  • Work with payroll manager to create Appointment Letters, validate new joiner contracts, etc.
  • Work with payroll manager to create monthly invoices, contracts renewals, etc. for consultants.
You might be a strong candidate if you have/are:
  • Bachelor's degree or equivalent.
  • Minimum of 2 years' experience in administrative and HR operations roles.
  • Proficient with office technology and equipment.
  • Excellent communication skills in English.
  • Ability to multitask effectively.
