Roles and Responsibilities - Front Desk ExecutiveReception & Guest Management- Greet clients, visitors, and employees professionally and warmly.- Maintain a tidy and welcoming reception area at all times.- Ensure visitors are properly signed in and directed to the appropriate personnel or meeting rooms.- Provide refreshments to guests, when necessary.Communication Handling- Answer incoming calls, screen and route them to appropriate departments or individuals.- Handle general inquiries via phone, email, or in-person with professionalism and discretion.- Maintain a log of all incoming and outgoing calls when required.Administrative Support- Manage meeting room schedules and ensure they are prepared for meetings (stationery, refreshments, cleanliness).- Support coordination of internal meetings, interviews, and conference calls.- Maintain stock levels and oversee ordering of office supplies, stationery, and pantry items.- Manage and update contact lists, internal extensions, and vendor databases.Courier & Mail Management- Coordinate and record all incoming and outgoing couriers, mail, and packages.- Liaise with courier partners for timely pickups and deliveries.
