- Calendar & Schedule Management: Maintain and prioritize complex calendars, schedule internal/external meetings, and ensure optimal time management.
- Communication Liaison: Draft, edit, and manage professional correspondence, reports, presentations, and communications on behalf of the executive.
- Meeting Support: Prepare briefing documents, agendas, and meeting minutes; track follow-ups and ensure completion of action items.
- Travel Coordination: Arrange domestic and international travel, including detailed itineraries, accommodations, and logistics.
- Project & Task Management: Oversee executive-related projects, support strategic initiatives, and manage special assignments independently.
- Confidentiality & Discretion: Handle sensitive information with a high degree of integrity and professionalism.
- Stakeholder Engagement: Act as a gatekeeper and primary point of contact between executives and internal/external stakeholders.
- Office & Team Support: Liaise with other departments, organize events, and assist with team coordination when needed.
- Position our fragrance solutions: Analyze data to identify meaningful insights. Manage priorities for yourself and the sales team. Create easy-to-understand reports and presentations.
- Improve the bottom line: Be an essential team member by coordinating and updating critical reports and tracking tools. Maintain data accuracy on reports and manage timelines. Create daily, weekly, and monthly dashboards and support project management and data reporting.
- Data Collection & Cleaning: Gather, clean, and validate large datasets from multiple sources to ensure data integrity and consistency.
- Data Analysis: Perform exploratory and advanced data analysis to uncover trends, patterns, and insights relevant to business performance.
- Reporting & Visualization: Design and build interactive dashboards, reports, and visualizations using tools like Tableau, Power BI, or Looker.
- 5+ years of experience as an Executive Assistant supporting C-level executives.
- Proven track record of managing high-stakes schedules and communications.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Power Point), Google Workspace.
- Strong organizational and time-management skills with meticulous attention to detail.
- Discreet, resourceful, and adaptable, with a proactive problem-solving approach.
- Bachelor's degree preferred; professional certifications a plus (e.g., Certified Administrative Professional).
