- Greet visitors and guests in a professional and friendly manner, ensuring a positive first impression of the organization.
- Manage incoming calls, directing them to the appropriate person or department and taking messages as needed.
- Handle inquiries from clients, customers, and other stakeholders, providing accurate information and assistance.
- Register and sign in visitors, issuing visitor badges and directing them to their designated areas.
- Escort visitors to meeting rooms or offices as required and notify hosts of their arrival.
- Provide administrative support to various departments, including photocopying, faxing, filing, and data entry.
- Assist with scheduling appointments, coordinating meetings, and managing calendars as needed.
- Sort and distribute incoming mail and packages to appropriate recipients.
- Prepare outgoing mail and packages for pickup or delivery, ensuring accurate postage and addressing.
- Monitor and maintain the reception area, ensuring cleanliness and organization at all times.
- Coordinate with facilities management for maintenance and repairs as needed.
- Enforce security protocols and procedures, including visitor sign-in procedures and access control measures.
- Monitor security cameras and report any suspicious activity or concerns to appropriate personnel.
- Collaborate with other administrative staff and departments to ensure seamless communication and workflow.
- Assist with special projects and tasks as assigned by management.
- High school diploma or equivalent; additional certification in office administration or related field is a plus.
- Proven experience as a receptionist or in a similar administrative role, preferably in a professional office environment.
- Excellent communication and interpersonal skills, with a polite and courteous demeanor.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Professional appearance and demeanor, with a positive attitude and willingness to assist others.
- Ability to maintain confidentiality and discretion with sensitive information.
- Familiarity with office equipment such as multi-line phone systems, printers, and scanners.
