- Partner with the HoD on high-impact initiatives and confidential matters.
- Prepare high-stakes presentations and briefs-often at a short notice-without compromising on clarity or quality.
- Build content to drive Leadership meetings content and department level events like TownHalls, Leadership travels, Dignitary visits, Strategy Workshops and ExCom engagements.
- Facilitate and coordinate HOD interventions for the department based on Business requirements.
- Act as the central coordination point for departmental projects and initiatives - managing timelines, dependencies, and stakeholder alignment.
- Establish and maintain governance frameworks, reporting mechanisms, and dashboards to track departmental OKRs, KPIs, and project health.
- Drive operational reviews, strategic planning sessions, and cadence meetings; ensure follow-through on action items and deliverables.
- Use AI tools to automate workflows & repetitive tasks like reporting- scheduling, generate insights, and accelerate execution.
- Anticipate needs, spot risks, and recommend solutions (ideally before the need arises).
- Collaborate cross-functionally to ensure alignment on goals and initiatives; serve as the liaison between the HoD and other business units.
- Take initiative to improve communication and collaboration across teams and functions.
- Bring independent judgment - this role is not for uncritical agree-ers.
- Continuously upskill and share your expertise to raise the team's capabilities.
- Proven experience in a Project Management Office (PMO) or similar program management function, preferably in a tech-driven or multinational environment.
- Expertise in working with Microsoft office tools - Excel, PowerPoint and Power Bi- good to have
- Proficiency with AI skills and to enable agile functioning in the role - experience with AI-driven project management tools
- Technical fluency preferred, but what matters most is the ability to learn quickly, adapt seamlessly, and apply new knowledge with confidence.
- Deep attention to detail and ability to manage ambiguity with an innovative & solution-oriented mindset
- Strong organizational, analytical, and communication skills with a bias for action.
- Robust Stakeholder connects - Demonstrate high emotional intelligence, discretion, and influence across cultures to collaborate with employees and Leaders.
- Fluency is some foreign language (German, Spanish, etc.) - not mandatory, but scores a definite brownie point
- Understand that this role will represent the Leader's office so timely delivery of quality is key
