1. Support day-to-day program delivery and implementation with a strong focus on overall administration, logistics, contract management & financial management requirements.
2. Manage various logistical arrangements like tickets, accommodation, lodging, boarding, visa, insurance, coordination across program events, workshops, sessions, travel for various stakeholders in India and participating countries.
3. Managing correspondence, invitations, files, records, and database of contacts.
4. Manage invoicing, billing, record keeping, financial management, reconciliation as per Palladium policies.
5. Ensure appropriate management, administration and office systems and procedures are in place necessary for proper accountability, reporting and audit requirements.
6. Support in ensuring that all offices operate efficiently and effectively within budgets and timeframes.
7. Manage office related administrative work.
8. Creating PAFs / Expense Claims
9. Invoice processing
10.Planning and coordinating meetings, workshops, offsites and any other events as directed.
11.Creating, assembling, and distributing welcome kits
12.Calendar Management: Coordinating complex schedules, travels, and meetings.
13.Project Support: Ensuring smooth project progress, anticipating needs, and proactively addressing issues.
14.Relationship Building: Developing close working relationships with supported colleagues to understand priorities and working preferences
15.Problem-Solving: Collaborating with others to effectively solve problems.
16.PAF and Expense Management: Preparing employees' PAFs and expenses, processing them on the company DOA portal, and maintaining accuracy in reports and PAFs.
