Educational Qualifications & Experience
  • Education: Graduation in any stream/Hospitality (MBA preferred).
  • Experience: Minimum 5 years of proven experience in General Administration or Facility Management.
Key Responsibilities:SAP & Procurement Management
  • PR to PO Lifecycle: Create Purchase Requisitions (PR) for administrative requirements and follow up diligently through the approval workflow to ensure timely Purchase Order (PO) conversion.
  • Material Management: Oversee the inventory of administrative supplies, ensuring stock levels are maintained and recorded accurately in the SAP MM module.
  • Bill Booking: Execute timely bill booking for various vendors (material and services) using relevant SAP T-codes.
  • Vendor Coordination: Liaise with vendors to ensure the delivery of goods and services aligns with PO terms and conditions.
Facility & Operations Management
  • Canteen Management: Supervise daily canteen operations, ensure hygiene standards are met, monitor food quality, and manage the meal-count reconciliation for billing.
  • Transport Management: Coordinate employee transportation, manage vehicle scheduling, track fuel efficiency/mileage, and ensure compliance with safety regulations.
  • Hostel and Guesthouse Management: Oversee the comprehensive maintenance and upkeep of company hostels and guesthouses. This includes managing room allotments, coordinating booking requests, and ensuring a high standard of hospitality, hygiene, and facility management for both long-term residents and visiting guests.
  • Billing & Documentation: Verify and process monthly invoices for all administrative services, ensuring zero discrepancies between service delivery and billing.
Technical Skills & Competencies
  • SAP Proficiency: Must be well-versed in the SAP MM (Material Management) Module.
  • T-code Expertise: Hands-on experience with T-codes related to PR creation, PO tracking, and service entry sheets (SES).
  • Documentation: Strong command over MS Office (Excel, Word) for reporting and data analysis.
  • Operational Fluency: Ability to multitask between floor-level facility management and backend system processing.
