Position DescriptionBusiness Division:R&DDepartment:Supply Chain ManagementLocation:UdaipurPosition Title:Stores AssistantLevel:A2 - E2Reporting to (Title):SCM ManagerPosition PurposeThe role holder is responsible for overall store and inventory management viz. receiving, storing, labelling, retrieving and despatching materials from the store as per user requirements. The role holder is also responsible for documenting and maintains accurate records of available inventory and ensuring that stock outs do not occur. The position holder will also procure general items.Strategic ResponsibilitiesOperational ResponsibilitiesStore / Stock Management Operations
  • Receive materials at the store; ensure delivery made is of correct quantity and specifications and make appropriate recordings of material received.
  • Ensure batch wise stacking of products and control of physical stocks at the store as per the policies and procedures.
  • Ensure rectification of batch mis-matches in the store, as per guidelines.
  • Plan secondary transportation requirements from the store to deliver materials to user.
  • Coordinate with transport vendors and Logistics team, to ensure on time delivery to users.
  • Ensure despatch adherence to FMFO/LMFO principles, as per procedure.
  • Monitor stocks in the store through regular stock-taking, as per specified timelines and guidelines.
  • Track stocks nearing expiry and ensure disposal of these stocks, as per guidelines
  • Continuously educate him/herself in respect of all safety matters related to storage of chemical items and develop and maintain safe storage and store conditions at all times
  • Develops and maintains an inventory location system and manages and ensures that location system is used and 100% traceability of all inventory items
  • Use barcoding and/or other identification systems as may be required to facilitate traceability and efficient store operations
  • Use SAP and other software as required incl. ELN and make sure that inventory modules in such systems are kept in up to date and accurate conditions at all times
Complaints Resolution
  • Ensure resolution of customer queries and complaints regarding product delivery (for example, delayed delivery, damaged products, expired products, packing issues),
Process Improvements
  • Implement identified improvement projects in store management processes.
MIS & Reporting
  • Update Trackers and prepare MIS / dashboards for identified metrics.
Audits & Compliance
  • Ensure adherence to all policies and procedures, related to store management processes.
Others
  • Manage administrative expenses for the store
  • Procurement of General stores goods and Stores accounting
  • Ensure accurate updation of physical stocks / stock reconciliation details in the company ERP portal (for example, Branch Connect), as per procedure
  • Provide support to Finance Accountant with accounting operations related activities.(for example, maintain lorry receipts, good receipts, certify of bills, share copies of bills and invoices, follow up for supporting documents from vendors, coordination for resolution of queries related to transport bills)
  • Lodge Insurance claims for transit & in-house damages of stock
  • Manage housing keeping of warehouses and stores
Financial Responsibilities
  • Monitor administrative expenses in the store , and ensure adherence to approved budgets
  • Implement cost saving projects in the depot / ware houses to achieve targeted cost savings (for example, packing cost, secondary transportation cost)
People Responsibilities
  • Attend trainings on training needs identified or imparted by HR.
Education QualificationGraduate in any discipline.Work Experience6-8 years of experience in Stores and Warehousing Management. Should be familiar with an ERP system. Knowledge of chemical safety procedures will be an added advantage; working with secondary transportation logistics vendorsIndustry to be Hired fromAgro Chemical / FMCG / Pharma industry experience preferredFunctional Competencies
  • Stores Knowledge – Process Knowledge, Warehousing Techn
  • Stores Management – Inventory Management, Stock Reconciliation, RGP/NRGP creation
  • Systems Knowledge – Knowledge of SAP, CBOE, MS Office
  • Documentation – creating MIS and relevant trackers
