Job DescriptionThe Asia Group (TAG), LLC is now accepting applications for an Office Administrator, with an expected start date in May 2026. Our diverse team possesses decades of government, private sector, and military experience with a work ethos that emphasizes teamwork, collegiality, creativity, entrepreneurialism, and mentorship.The Global HRIS & Operations Administrator will play an important role in supporting the day-to-day administration, systems maintenance, document management, and operational follow-through of TAG’s global HR function. Based in our Global Center of Excellence (GCE) in India, you will serve as a key administrator and first line of support for HiBob HRIS, our Learning Management System (LMS), and related integrated systems that interface with our Legal and Finance systems.In this role, you will partner with HR, Talent Acquisition, Finance/Payroll, Legal/Compliance, and People Leaders to support onboarding/off boarding, employee records management, reporting, and coordination with vendors. Additionally, you will build and own our internal HR communications Intranet to ensure employees have self-service access to HR resources.This role is best suited for a highly organized, detail-oriented, and analytical HR professional who enjoys process ownership, data accuracy, documentation, and administrative execution. For a candidate who demonstrates operational excellence, this role offers a clear trajectory to take full ownership of TAG’s global HR technology stack.Note on Scope: This is not primarily a recruiting role, employee relations role, or policy-setting role. Instead, it is a hands-on HR operations role for someone who can independently manage structured work with care, confidentiality, and strong follow-through, while knowing when to escalate non-routine matters.Job Requirements
  • Bachelor’s degree in human resources, Business Administration, Information Systems, OR equivalent practical experience.
  • 3 years of full-time experience in corporate human resources, people operations, HR administration, HR systems, shared services, or a closely related field; 4-6 years strongly preferred.
  • Demonstrated experience handling HR documentation, records, systems, and recurring operational work with a high degree of accuracy.
  • Strong attention to detail and a proven ability to catch errors, inconsistencies, and missing information.
  • Strong organizational and time-management skills, with the ability to manage multiple recurring tasks and deadlines.
  • Comfort working with structured, repeatable, administrative work without losing quality or follow-through.
  • Strong analytical mindset and comfort working with HR data, trackers, and system records.
  • Strong written and verbal communication skills in English, with demonstrated ability to explain systems and processes to varied audiences.
  • Ability to work independently, stay organized, and move work forward with limited day-to-day oversight.
  • Ability to maintain a high degree of confidentiality and discretion.
  • Ability and willingness to maintain regular overlap with Washington, DC business hours, ideally through approximately 11:30 a.m. Eastern Time.
Preferred Qualifications
  • Experience supporting a multi-country or global workforce.
  • Experience in a professional services, consulting, or other fast-paced international business environment.
  • Advanced HR reporting skills (e.g., complex report building, calculated fields, data validation/auditing, and dashboarding).
  • Experience supporting onboarding, offboarding, leave administration, benefits administration, or HR vendor coordination.
  • Proficiency with SharePoint and Co-Pilot as well as the full Microsoft Office platform ability to build clear process documentation and employee-facing communications.

Job ResponsibilitiesHR Systems and Data Administration
  • Provide day-to-day administration and user support for the firm’s HRIS and LMS process employee data updates, maintain organizational data, and support role-based access requests per policy.
  • Manage the end-to-end administration of the Learning Management System (LMS), including the assignment of mandatory compliance trainings, tracking completion rates, and providing technical support to employees globally.
  • Conduct regular data audits to identify missing, inconsistent, outdated, or incomplete information and resolve issues in a timely manner.
  • Assist with system updates, backups, bulk changes, imports, exports, quality checks, and other recurring administrative activities tied to HR platforms.
  • Reconcile employee information across systems and source records to improve data reliability and reduce downstream errors.
  • Prepare and distribute recurring reports, trackers, and operational metrics (e.g., headcount, attrition, onboarding/offboarding status, and compliance/training completion) validate data and flag anomalies for review.
  • Support HR process testing, quality assurance checks, and system implementation follow-through as needed.
HR Communications & Internal Intranet
  • Create, launch, and maintain a centralized HR intranet/knowledge base for TAG employees.
  • Ensure employees have 24/7 access to up-to-date FAQs, benefit summaries, onboarding guides, and HR resources.
  • Organize information logically and professionally to ensure a seamless self-service experience for a global workforce.
Employee Lifecycle & Contract Operations
  • Contract Administration: Administratively manage the contract extension process – generating letters from templates, routing for electronic signature, and updating HRIS records. (Note: High-level negotiations and immigration compliance are handled by HQ leadership).
  • Onboarding & Off boarding: Coordinate administrative components of onboarding/offboarding, including checklist launches, HRIS setup, document collection, orientation scheduling, policy acknowledgements, final settlement handoffs, and asset return tracking.
  • Execute HR operational tasks across the employee lifecycle (joiners, movers, leavers), including status changes and system updates; coordinate with IT and other stakeholders to ensure required steps are completed.
  • Prepare standard HR documents, including routine employment letters, acknowledgments, change letters, and employment verification support documents.
Records, Compliance, & General HR Administration
  • Organize, maintain, and update employee files; support the migration, cleanup, and long-term maintenance of employee files within designated HR systems and document repositories.
  • Maintain disciplined file naming, version control, and records organization practices; track missing paperwork and follow up to ensure records are complete.
  • Maintain required HR documentation and trackers; support audit requests by compiling records and evidence; follow retention and confidentiality requirements and escalate gaps.
  • Provide administrative support for benefits, leave, and related employee lifecycle processes, including routine data updates, form handling, and tracker maintenance.
  • Support the administrative enrollment process for U.S.-based benefits by tracking completion of elections in the HRIS, handling routine data updates, and reconciling enrollment records to ensure data integrity.
  • Assist with background screening administration and case management, including escalation of adverse/complex results as appropriate.
  • Support routine inbox and task-based HR work that can be managed through defined processes and templates.
Vendor Coordination & Process Improvement
  • Support administrative coordination with external HR-related vendors, employer-of-record partners, and payroll providers.
  • Conduct first-pass review of routine requests and identify missing information before escalating matters for decision.
  • Draft and maintain standard operating procedures (SOPs), job aids, templates, and internal process documentation for repeatable HR tasks.
  • Identify administrative bottlenecks, recurring errors, and inefficient handoffs, and recommend practical improvements to HR leadership.
  • Help standardize recurring administrative work across offices and countries wherever practical, making HR operations less dependent on informal knowledge.
  • Audit and standardize global onboarding workflows to ensure a consistent experience across all TAG offices; create visual training materials, user guides, and "how-to" resources to support new hire orientation and system adoption.
  • Serve as a primary, first-line contact for HR operational questions; provide clear status updates, manage queues and deadlines, and escalate complex cases as needed.
  • May perform other special projects and duties according to business needs.
