A Real Estate Receptionist is the first point of contact, responsible for greeting clients, managing calls, scheduling, handling mail, maintaining the office's welcoming appearance, and providing general admin support like data entry and filing for agents, requiring strong communication, organization, and MS Office skills to ensure smooth daily operations and a professional company image.Key Responsibilities:
  • Client & Visitor Management: Warmly greet and assist clients/visitors, manage visitor logs, and direct them to the right personnel.
  • Phone & Communication: Answer, screen, and forward incoming calls; take accurate messages; handle general inquiries.
  • Scheduling: Manage calendars, book meeting rooms, and confirm appointments for agents.
  • Administrative Support: Handle incoming/outgoing mail, faxes, and deliveries; perform data entry; maintain filing systems (digital & physical).
  • Office Upkeep: Keep the reception area clean, tidy, and presentable; restock supplies as needed.
  • Coordination: Liaise with other departments for efficient operations.
  • Listing Support (Optional): May involve entering property listings into the MLS.
Essential Skills & Qualifications:
  • Experience: Previous receptionist or office administration experience preferred.
  • Communication: Excellent verbal and written skills; professional and friendly demeanor.
  • Organization: Strong multitasking, time management, and attention to detail.
  • Technical: Proficient in MS Office (Word, Excel, Outlook) and general office equipment.
  • Qualities: Proactive, professional, reliable, and customer-focused.
Reporting Structure:
  • Typically reports to the Office Manager or Operations Manager.
