We serve over 1,000 investment firms, offering clients 24/7 coverage through our team of 1,300+ employees located across nine offices.Job DescriptionThe RoleBased at our Mumbai office, the Office Facilities Coordinator (Evening Shift: 5 PM - 2 AM) is an essential member of the Workplace Support team. We are looking for someone who can assist with the running of a fast-paced office. Someone who will relish the daily challenges of the department, who can follow and maintain processes and procedures in order to keep the office running smoothly, and who isn’t afraid to roll up their sleeves.The main responsibilities of this role will include but are not limited to:Ensuring the office environment is kept clean and tidy, and free from hazards, including but not limited to communal dining areas, open floorplan work stations, conference rooms, and restroomsCommunications with external suppliers, partners, and internal teamsWorking closely with the Workplace Support team to ensure high standards across the officeAnswering the main reception phone and directing callsMeeting and greeting guestsBeing the first point of contact for the building porter, etc.Taking receipt of and distributing post and deliveries, coordinating outgoing mailMaintaining stock levels of food and stationery, ordering/taking receipt of deliveries/allocating stock to kitchen/store cupboardSetting up in office social eventsLiaising with maintenance people and other vendors when they are scheduled to complete works in the officeAssisting with the organisation of staff social eventsQualificationsExperience with office coordination, health and safety, and facilities would be advantageousHighly organised with a keen eye for detailThe ability to establish strong relationships with suppliers and colleaguesAbility to learn quickly and jump in where neededA proven ability to work in an extremely fast-paced environmentExcellent written and verbal communicationAbility to make decisions quickly and sort complex, competing prioritiesAbility to keep calm in the face of fast change or urgent demandsAbility to interact with senior executives and all levels of the organisationAn understanding of confidentiality issues and the use of discretionA smart, professional appearance and can-do attitudeAdditional InformationHow will you be rewarded?
