- Manage day-to-day administrative operations of the Legal Department, including scheduling, correspondence, filing, and departmental coordination.
- Maintain legal databases, contract management systems, matter management tools, and other legal technology platforms.
- Support the contract lifecycle process, including intake, tracking, routing, execution, and storage.
- Administer legal calendars, deadlines, and compliance timelines; ensure timely reminders and follow-up.
- Assist with preparing, organizing, and maintaining legal documents, templates, and records.
- Coordinate with internal stakeholders and external counsel for documentation, information requests, and project updates.
- Generate reports and dashboards related to matter status, contract workflows, legal spend, KPIs, and departmental metrics.
- Support budget tracking, invoice review, and outside counsel management.
- Implement and maintain process improvements related to legal operations efficiency.
- Assist with audits, compliance initiatives, and policy updates as needed.
- Ensure adherence to confidentiality, data security, and legal record-keeping standards.
- Support legal team onboarding, training sessions, and maintenance of departmental resources.
- Bachelor's degree in Business Administration, Legal Studies, or related field; or equivalent work experience.
- 2+ years of administrative or operations experience, ideally within a legal, compliance, or corporate environment.
- Familiarity with legal terminology, legal documents, and standard legal processes.
- Experience working with legal technology tools such as contract management systems, document management systems, or matter management platforms.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail, accuracy, and follow-through.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and general office technology.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with discretion and professionalism.
- Prior experience working in a law firm, corporate legal department, or compliance environment.
- Experience with legal operations software such as Ironclad, Coupa, Legal Tracker, Onit, or similar platforms.
- Knowledge of contract lifecycle management (CLM) processes.
- Familiarity with e-billing systems or legal spend management.
- Experience supporting process improvement or legal tech implementation projects.
- Certification in legal operations or paralegal studies (e.g., CLOC, ACEDS, NALA).
