KEY RESPONSIBILITIES: Monitor and oversee essential services such as day-to-day administration, housekeeping, and pantry management across all company locations. Procurement and Cost Management: Supervise the purchase of office supplies including stationery, uniforms, office provisions, ID cards, and visiting cards in coordination with the local admin team. Scrutinize and approve all admin-related costs, including mobile bills, electricity bills, courier services, telephone expenses, stationery, photocopying, provisions, and food. Inventory and Vendor Management: Maintain inventory records of office stationery and all company assets. Appoint vendors and service providers for various services such as telecommunication, electricity, travel agencies, courier services, stationery suppliers, mobile service providers, ISPs, and printers. Facilities Management: Coordinate and oversee all repairs, maintenance, and renovation projects within company facilities, including the head office, branch offices, and factory. Insurance and Documentation: Maintain and update the company's insurance portfolio, including property insurance, liability insurance, and employee insurance policies. Admin Budgeting: Develop and maintain a comprehensive MIS for administrative activities, including expense tracking, inventory management, vendor contracts, and facility maintenance records. Monitor budget performance throughout the fiscal year, tracking expenses, identifying variances, and implementing cost-saving measures as needed. Lead the development of the annual administrative budget in collaboration with department heads and finance teams. Policy Development and Compliance: Collaborate with department heads and key stakeholders to develop and document administrative policies, procedures, and guidelines. Ensure that admin policies align with company objectives, regulatory requirements, and industry best practices. Event Management: Plan and coordinate all aspects of company events, including meetings, conferences, workshops, and social gatherings. Ensure that events are executed smoothly, adhering to timelines, budgets, and quality standards. Implement and enforce safety protocols and procedures to promote a secure and healthy work environment for all employees. Maintain compliance with relevant health and safety regulations and standards, conducting audits and addressing any non-compliance issues promptly. Take responsibility for the renewal of various company licenses, including the Shops & Establishments Act. Handle all documentation and processes related to Mediclaim and maintain records of rent/lease agreements centrally. Team Development: Lead a team of Front Office Executives and administrative staff, framing policies regarding administrative work. Develop a system/tracker to monitor facility hygiene and cleanliness, ensuring a conducive work environment. Handle logistics and procurement for company events and festivities as required. Workspace Optimization: Oversee space planning, allocation, optimization, and forecasting to ensure efficient workspace utilization. Ensure that all department functions adhere to SOPs and are executed within the defined Turnaround Time (TAT). Reporting: Update all admin expenses on the ERP software and generate reports on a half-yearly basis to compare budgeted versus actual expenses. REQUIRED SKILLS, QUALIFICATION AND EXPERIENCE: Skills: Strong leadership and managerial skills. Excellent organizational and multitasking abilities. Proficiency in MS Office suite and ERP software. Knowledge of regulatory requirements and compliance standards. Qualification and Experience: Bachelor's degree in Business Administration or related field. Proven experience as an Administrative Manager or similar role preferably in a manufacturing environment.
