- Calendar Management: Coordinate and manage the Managing Director's calendar, including scheduling meetings, conference calls, and appointments, while optimizing time and ensuring alignment with priorities.
- Communication: Serve as a primary point of contact for internal and external stakeholders, filtering and redirecting communications as necessary. Compose and draft emails, memos, reports, and other correspondence on behalf of the Managing Director.
- Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, ground transportation, and other logistics, considering time zones and potential changes.
- Documentation and Records: Maintain organized electronic and physical filing systems, ensuring all documents are accurately labeled and easily accessible for reference.
- Meeting Support: Prepare meeting agendas, materials, and presentations. Attend meetings, take accurate minutes, and distribute them promptly. Follow up on action items to ensure completion.
- Project Assistance: Assist in various projects and initiatives led by the Managing Director. Conduct research, gather data, and provide insightful analysis as required.
- Expense Management: Track, review, and reconcile expense reports, ensuring adherence to company policies and procedures.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism, maintaining a high level of confidentiality at all times.
- Proven experience as an Executive Assistant or similar role supporting C-level executives or managing directors.
- Exceptional organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Strong written and verbal communication skills, demonstrating professionalism and attention to detail.
- Proficiency in remote work tools, collaboration software, and Microsoft Office Suite.
- High degree of adaptability and self-motivation in a remote work environment.
- Discretion and reliability in handling confidential information.
- Strong problem-solving skills and the ability to make decisions independently when needed.
- Previous experience with remote work preferred, but not mandatory.
