The role requires team management, initiative, accuracy and high level of moral and ethical outlook.Role Overview:· Managing all aspects of Office and Administrative Services for the respective office which would include (not limited to):o Facility Management - Housekeeping, Pantry, Operations and Maintenance, Preventive Maintenance, Waste Management, Pest Controlo ES&H - Fire and Safety, Sustainability, Medical Services etc.o Asset managemento Security Managemento Travel Managemento Hotels and Guest Houseso Liaison and Complianceo Space Managemento Expat Services Managemento Parking Managemento Mail Room and Couriero Event Managemento Contract Managemento Access control and CCTVo Transport Managemento Vendor Management· Developing and monitoring financial information, such as comparing Month-on-Month expenses and preparing periodic reports (MIS) along with maintaining historic data.· Organizing required logistics for meetings, presentations, and training sessions.· Assisting in activities, such as employee engagement.· Ensuring the Contractual Service providers perform per SLAs.· Monitoring/meeting all statutory/regulatory compliances pertains to contractors.· Reviewing deliverables of Contractual Service Staff - Operation & Maintenance, House Keeping, Security-and monitors quality to ensure that optimum level of utilization is ensured. Monitor attendance and leave management of all such staff.· Follow regular/monthly billing of all services and materials purchased. Verify and approve all such invoices for on time payment process. Ensure effective material management. Ensure inventory is always maintained at site to meet any urgent requirements.· Managing the preventive maintenance program for continued business operations.· Monitoring and ensuring timely civil repair, water supply, lifts, fire system etc.· Engaging service providers for required procurement, repairs, contracts etc.· Liaison and co-ordinate with the Supervisors/Lead of projects for space allocation etc.· Ensure safe, clean and hygienic workplace.· Conducting safety orientation for all the personnel, for them to be familiar with the building layout plans and its firefighting and sprinkler systems, evacuation route etc.Qualification· Graduate with 12 - 15 years of experience in Facility Management and Administration domain.· Person should be able to manage a team and should be capable of leading the respective location independently.· Good knowledge of MS Office.· Excellent written and oral communication skills.· Excellent organizational and leadership skillsShaping tomorrow togetherBechtel is one of the most respected global engineering, construction, and project management companies.
