- Plan daily dispatch schedules based on sales orders, delivery priorities, and stock availability.
- Coordinate loading and dispatch of materials from warehouse/plant.
- Ensure on-time delivery to customers and project sites.
- Prioritize urgent and bulk orders efficiently.
- Verify sales orders, delivery challans, invoices, and dispatch instructions.
- Ensure correct quantity, grade, batch, and product specifications are dispatched.
- Track pending orders and update concerned teams.
- Arrange vehicles/transporters for dispatches.
- Coordinate with drivers, transport vendors, and fleet teams.
- Optimize routes and reduce transportation costs.
- Monitor vehicle placement and turnaround time.
- Prepare dispatch documents such as:
- Delivery Challan
- E-way Bill
- Invoice Copy
- Gate Pass
- LR / Consignment Note
- Ensure statutory and company compliance during dispatch.
- Work closely with warehouse/store team for stock availability.
- Update dispatch quantities in ERP/system.
- Report shortages, damages, and stock discrepancies.
- Share dispatch status with sales team/customers.
- Handle delivery-related queries and complaints.
- Provide POD (Proof of Delivery) follow-up when required.
- Ensure safe loading practices.
- Verify packaging, labeling, and product condition before dispatch.
- Prevent dispatch errors, damages, and losses.
- Maintain daily dispatch reports.
- Track dispatch volumes, pending orders, delays, and transporter performance.
- Share MIS with management regularly.
