- Send weekly New Employee Orientation (NEO) invitations to new hires.
- Track and maintain new hire onboarding data to ensure timely completion of tasks.
- Generate and send weekly I-9 forms to U.S. new hires.
- Conduct monthly HR audits to ensure compliance and data accuracy.
- Manage onboarding surveys and track completion.
- Support CALA employee lifecycle processes, including changes and transitions.
- Complete annual reviews of DocuSign templates, HR playbooks, and tools, identifying and updating outdated content.
- Prepare and manage employee agreements via DocuSign.
- Monitor and respond to employee inquiries through the HR shared inbox, using approved templates.
- Process immigration-related invoices accurately and on time.
- Complete manual verifications of employment (VOEs) and return them to requesting parties.
- Validate employee data changes to ensure HRIS accuracy and compliance.
- Prepare and issue immigration and business invitation letters for the Americas and International regions (excluding India, Israel, and Philippines).
- Support future rebranding initiatives as they impact HR documents and templates.
- Maintain, clean up, and organize employee files, ensuring ongoing compliance and accessibility.
- 2+ years of experience in HR Operations, HR Shared Services, or HR Administration.
- Ability to work EST business hours (Monday-Friday) from India.
- Hands-on experience with HRIS systems (Workday, Oracle, or ADP preferred).
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to handle confidential and sensitive HR information with discretion.
- Spanish fluency (written and verbal).
- Experience with DocuSign, GoAnywhere, or similar document management tools.
- Familiarity with U.S. onboarding processes, employment practices, and I-9 compliance.
- Strong problem-solving and critical-thinking abilities.
- High professionalism and employee-centric customer service mindset.
- Ability to work independently and manage time effectively in a fast-paced environment.
- High accuracy in data entry, documentation, and reporting.
- Strong collaboration skills within a global, remote team.
