The Content Manager owns the proposal content strategy for Iron Mountain, leading the creation, management and maintenance of customer-facing information globally. Collaborating with the Proposal & Bid Management team and subject matter experts (SMEs), youidentify frequently asked questions (FAQs), gather responses and upload them to a content management system, Responsive/RFPIO. In this role, you build relationships with SMEs to obtain accurate, current information about the company, solutions and processes. This requires persistence in communicating with SMEs to refresh existing and add new content in a timely manner. The Content Manager moderates all new responses and ensures content aligns with internal standards and processes. With the support of a content specialist, you edit and rewrite content, archive or update outdated answers, add keywords and custom fields, and assign content owners and refresh dates. You also manage and train users, develop effective content management processes and inform users about software updates and improvements. As the primary point of contact to Responsive/RFPIO resources, you engage them to troubleshoot issues, make system changes and develop best practices. The Content Manager is a detail-oriented self-starter who possesses strong organizational and communication skills. You may occasionally assist the team with management of proposals as needed. Key Responsibilities Dissect RFIs/RFPs and identify new FAQs and other content for addition to the content database. Search existing Q&A pairs and eliminate duplicate answers. Source new content from SMEs including product marketing, solution development, implementation, operations, legal, finance and others. Meet regularly with the proposal team to identify content gaps and edits. Establish and manage review cycles, collaborating with content owners to update information in a timely manner. Review content to ensure consistent messaging, alignment with product management, and proper grammar and spelling (active vs passive voice). Develop, configure and maintain content governance rules through naming conventions, tagging policies and archiving outdated content. Work with SMEs and marketing to obtain compelling graphics and documents that support product and service solutions, and grow a library of proposal-ready images and attachments. Assign tasks to Content Specialist and establish schedule to provide support to global regions. Maintain knowledge of the latest system developments and provide guidance, training and recommendations on the use of Responsive/RFPIO and content. Translate enterprisewide responses into all supported languages using the built-in translation tool, and coordinate content review with local SMEs. Additional Responsibilities: Identify and recommend improvements in content organization and governance to improve Proposal & Bid Management and Sales efficiency on a global scale. Develop and maintain a strong understanding of all Iron Mountain products and services and their corresponding value proposition. Manage proposal development during peak volume times. Required Knowledge, Skills and Experience Bachelor's degree in journalism, marketing, communications or a related field 3 or more years of experience in content management or proposal management, maintaining customer-facing content in an automated system Excellent organizational and analytical skills and the confidence to navigate a large matrix of products,services and teams Experience writing, editing and proofreading proposal or marketing content Ability to work independently and within a cross-functional team Advanced experience with document formatting in various platforms, including Microsoft Office, Google Suite, Adobe Acrobat Knowledge of proposal automation, AI tools and database solutions helpful, preferably Responsive/RFPIO or similar Category: Sales Operations Group Iron Mountain is committed to a policy of equal employment opportunity.
