- Building Management (Fire drills, Biennial Power Shutdown High Tension Maintenance, Landlord space renovations, Tenant relationship improvements, etc)
- Non-IT Equipment (Reception, Meeting rooms, Audio & Video, Security devices, Safety fittings, Auto doors, Auxiliary aircon and sewerage, Beverage dispensers, etc)
- Services (Cleaning staff, Lunch vendor, Office cleaning, Confidential disposals, Aquarium, Pest control, Utilities fittings repairs, Stationaries and consumables ordering, Office stationaries printing, travel & tour operators, office maintenance etc)
- Identify, speak and negotiate with travel agencies and hotels for tie up to ensure good service and commercial rates.
- Office Administration
- Managing and ensuring the efficiency and presentation of Front Office facilities and services.
- Process setting, implementation and maintenance of Standard Operating Procedures to ensure efficient office administration.
- Overseeing Office administration via contractual resources for Mumbai & Chennai.
- EHSS
- Application and enforcement of EHSS standards for a sustainable safe and secure office environment. This includes visitor immigration-related matters and Office Ergonomics.
- Site EHSS coordinator in support of EHSS Asia Pacific to communicate regional EHSS updates, submission of monthly site EHSS reports, coordinating EHSS audits, Incident reporting, and Corrective Actions implementation.
- Oversee and ensure Compliance, Standards and Health & Safety. Keeping Country Head, staff & volunteers appraised and determining action where appropriate.
- Office Space Utilization
- Regular review of office space utilizations. Coordination of workspace requirements, and internal or cross-sites relocation activities.
- Budget Planning
- Planning and managing of company admin general budget through periodic reviews for cost control measures.
- Regional Head & Dignitaries support
- Administrative support to Regional Head and Executive dignitaries. Liaise with government departments.
- Company-wide Certifications
- Support of various Company-wide certification/audit activities such as Secure Trade Partnership, IT Security Audit, and EHSS Audit.
- Company events/functions/projects
- In coordination with IT, Corp Comms, SRC, SWN, Sustainability, Business & Functional Units
- Organize Regional Head-hosted company-wide annual events such as town halls, Annual events.
- Travel desk
- Interact and coordinate with staff, travel agency, hotels for business travels and visas for international travel.
- Responsible to track all personnel's attendance.
- Leading Office Admin team, including Contractors (Receptionist) and Service Providers (cleaners) to provide efficient and uninterrupted services to the office.
